Privacy Policy
How Western Sydney Trades collects, uses, shares and protects your personal information under the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
🛡️ The Plain-English Version
Before the legal detail, here's what actually happens when you use our website:
- We collect your name, phone, email, suburb and job description when you submit a quote form. We also collect standard browsing data (IP, pages visited) via Google Analytics.
- We share your quote-request details with the licensed tradespeople in our network so they can quote your job. That's the service we provide.
- We never sell your personal information. Full stop.
- You can ask for a copy of what we hold, request correction, request deletion, or opt out of marketing — any time, free, via sales@westernsydneytrades.com.au.
- Complaints about how we handle your data can go to us first, and then to the Office of the Australian Information Commissioner (OAIC) if not resolved.

1.About This Policy
Western Sydney Trades ("we", "us", "our") operates the website westernsydneytrades.com.au (the "Website") and connects homeowners in Western Sydney with licensed local tradespeople. This Privacy Policy explains how we collect, use, disclose, store and protect your personal information, and the rights you have under Australian privacy law.
This policy is governed by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using our Website or submitting a quote request, you agree to the practices described in this policy. If you don't agree, please don't use the Website.
2.Information We Collect
2.1 Information You Provide Directly
When you submit a quote request, contact form, or subscribe to our newsletter, we collect:
- Your name
- Your phone number
- Your email address
- Your suburb (to match you with local tradies)
- A description of the work you need, your property type, and your timing preferences
- Any additional details you voluntarily include in the message field
2.2 Information Collected Automatically
When you browse the Website, we automatically collect standard web analytics data:
- Your IP address (which also indicates your approximate location)
- Your browser type and version, operating system, and device information
- Pages you visited, time spent, referring URL, and navigation patterns
- Date and time of access
This automatic data is collected via cookies, analytics tools (see Section 5), and standard server logs.
2.3 Information We Don't Collect
We don't knowingly collect sensitive information (as defined under the Privacy Act — e.g. health information, religious beliefs, sexual orientation, political opinions). We don't collect payment card details because we don't process payments directly. We don't collect government identifiers (Medicare numbers, driver's licence, passport details) because our service doesn't require them.
3.How We Use Your Information
We use the personal information we collect for the following purposes:
- To provide our matchmaking service — sharing your quote request with up to 3 licensed local tradespeople so they can quote your job
- To respond to your enquiries and provide customer support
- To send you information you requested, such as newsletter content if you subscribed
- To improve our Website and services through aggregated analytics
- To send you relevant communications, but only with your consent and with a clear unsubscribe option in every message
- To detect and prevent fraud, spam, or misuse of our Website
- To comply with legal obligations including tax records, lawful requests from authorities, and dispute resolution
We will not use your personal information for any other purpose without first obtaining your consent.
4.How We Share Your Information
4.1 With Licensed Tradespeople in Our Network
The core purpose of our service is matching homeowners with licensed tradespeople. When you submit a quote request, we share your name, phone, email, suburb, and job description with up to 3 licensed tradespeople in our network who operate in your area and cover the trade category you need. Each tradesperson is required by our terms of service to:
- Contact you only in relation to the specific quote you requested
- Handle your information in accordance with the Privacy Act 1988 and their own privacy policy
- Not sell or re-share your information with any third party
Tradespeople in our network are separate legal entities. Once we pass your details to a tradesperson, their handling of your information is governed by their own privacy policy. We are not responsible for their actions.
4.2 With Service Providers
We share information with third-party service providers who help us operate the Website and service (see Section 5 for the itemised list). These providers are contractually restricted to using your data only for the specific services they provide to us.
4.3 For Legal Reasons
We may disclose personal information to law enforcement agencies, courts, regulators or government bodies where required or authorised by law.
4.4 Business Transfers
If Western Sydney Trades is sold, merged, or otherwise restructured, your personal information may be transferred to the acquiring entity as part of that transaction. We'd update this Privacy Policy and notify you of any material change in how your data is handled.
4.5 What We Never Do
We do not sell your personal information to third parties. Ever. We do not share your personal information for cross-context behavioural advertising. We do not rent, trade, or monetise your data beyond the direct matchmaking service you requested.
5.Third-Party Services We Use
We use the following third-party services to operate the Website. Each is listed with the category of data they process and a link to their privacy policy:
| Service | Purpose | Data Shared | Privacy Policy |
|---|---|---|---|
| Web3Forms | Processes submissions from our quote and contact forms | Form contents (name, phone, email, suburb, job details) | Web3Forms Privacy |
| Google Analytics | Website usage analytics and performance monitoring | IP address (anonymised), page views, device & browser info | Google Privacy |
| WordPress.com / hosting | Website hosting and server-side infrastructure | Server logs including IP address, request data | Automattic Privacy |
| Cloudflare | CDN, DDoS protection, and performance optimisation | IP address, request headers, security-related metadata | Cloudflare Privacy |
If any of these providers change, or if we add new services that process personal data, this policy will be updated accordingly.
6.Cookies and Tracking Technologies
Our Website uses cookies and similar tracking technologies. A cookie is a small text file stored on your device by your browser. We use cookies for:
- Essential cookies — required for core Website functionality (e.g. security, session management). These can't be disabled without breaking the site.
- Analytics cookies — Google Analytics cookies that measure how visitors use our Website so we can improve it.
- Preference cookies — remember your settings (e.g. whether you've closed a notification).
We do not currently use advertising or retargeting pixels (such as Meta Pixel or Google Ads remarketing tags). If we add these in future, we'll update this policy and provide an opt-in mechanism where legally required.
You can manage or disable cookies through your browser settings. Disabling cookies may affect functionality — particularly any form that relies on session handling. For guidance on managing cookies, see AboutCookies.org.
7.Data Security
We take reasonable steps to protect your personal information from unauthorised access, loss, misuse, alteration or disclosure:
- Encryption in transit — our Website uses TLS/SSL encryption for all data transmitted between your browser and our servers
- Secure hosting — data is stored on infrastructure with industry-standard security controls
- Access controls — personal information is accessible only to staff and service providers who need it to operate the service
- Regular reviews of our data handling practices
However, no method of internet transmission or electronic storage is completely secure. While we take reasonable security measures, we cannot guarantee absolute security. You use the Website at your own risk, and you're responsible for keeping your own devices, email accounts and passwords secure.
8.Data Retention
We retain your personal information only for as long as needed to fulfil the purposes outlined in this policy, or as required by law:
- Quote request data — up to 24 months from the date of submission, unless you request earlier deletion
- Contact enquiries — up to 24 months from last correspondence
- Newsletter subscribers — until you unsubscribe, plus a short suppression-list period
- Analytics data — subject to Google Analytics default retention settings (currently 14 months)
- Legal or tax records — retained as long as required by Australian law (typically up to 7 years)
You can request deletion of your personal information at any time by emailing sales@westernsydneytrades.com.au. We'll comply subject to any legal obligations that require retention.
9.Your Privacy Rights
Under the Australian Privacy Act 1988 and Australian Privacy Principles, you have the right to:
- Access — request a copy of the personal information we hold about you
- Correction — request that we correct inaccurate or incomplete information we hold
- Deletion — request deletion of your personal information (subject to legal obligations that may require us to keep certain records)
- Opt out of direct marketing — unsubscribe from any marketing email at any time via the unsubscribe link in the message or by contacting us directly
- Opt out of data sharing — request that we stop sharing your details with tradespeople (note: this means we can no longer provide our quote-matching service to you)
- Complain — lodge a complaint with us first, and if unresolved, with the Office of the Australian Information Commissioner (OAIC)
To exercise any of these rights, email sales@westernsydneytrades.com.au. We aim to respond to all requests within 30 days. There is no charge for standard privacy requests. We may need to verify your identity before processing certain requests to protect your data from unauthorised access.
10.International Data Transfers
Some of our third-party service providers (notably Google Analytics and Cloudflare) are based overseas and may store or process data on servers located in the United States, European Union, or other countries. When your personal information is transferred overseas, we take reasonable steps to ensure it's handled in accordance with the Australian Privacy Principles, including using providers with appropriate contractual safeguards.
By using our Website, you consent to your information being transferred to and processed in these jurisdictions. If you have concerns about cross-border data handling, please contact us before submitting a quote request.
11.Data Breaches (Notifiable Data Breach Scheme)
If we experience a data breach that is likely to result in serious harm to you, we're required by the Notifiable Data Breaches (NDB) scheme under Part IIIC of the Privacy Act 1988 to:
- Assess the breach promptly
- Notify affected individuals where required
- Notify the Office of the Australian Information Commissioner (OAIC)
Notification will include a description of the breach, the kinds of information involved, and recommended steps you can take to protect yourself.
12.Links to Other Websites
Our Website contains links to third-party websites (including council websites, government portals, and tradesperson directories). We are not responsible for the privacy practices, content, or security of those external sites. Once you leave our Website via an external link, this Privacy Policy no longer applies. We encourage you to review the privacy policy of any third-party website you visit.
13.Children's Privacy
Our Website and services are not directed at children under the age of 18. We don't knowingly collect personal information from children. If you're a parent or guardian and you believe a child has provided us with personal information, please contact us at sales@westernsydneytrades.com.au and we'll promptly delete any such information.
14.Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal obligations. When we make changes, we'll:
